Student On-Boarding Process For Schools

 

The Office of Student Affiliations (OSA) facilitates the clearance and onboarding of Nursing and Allied Health students coming to UMass Memorial Medical Center (UMMMC) for their clinical rotation. 

To on-board a student there must be a current UMass Memorial Health (UMMH) Agreement with the school. If there is no current Agreement, the OSA will send the UMMH template to be signed by the school and UMMH leadership. Once an agreement is confirmed, the school must provide the required documents to the Office of Student Affiliations at least two to three weeks prior to the start of a clinical rotation.

The Office of Student Affiliations manages faculty led clinical nursing groups and senior nursing student preceptorships. The OSA does not arrange clinical placements for graduate allied health students.  It is the responsibility of the collaborative academic institution or individual student to arrange these preceptorships. On-boarding begins once a placement is secured.

Required Forms

The Office of Student Affiliations provides these two sets of forms upon request. The school is responsible to complete the first set and the student completes the other. The school must then submit both sets of forms to initiate the on-boarding process.

Forms the School Completes

  • Letter of Attestation Form (Please note that this form must also be accompanied by a letter, signed on school letterhead)
  • Student Group Summary
  • Faculty Group Summary (If faculty are coming on-site)

Forms the Student Completes 

  • Student Registration/Badge Form
  • Confidentiality Form 
  • CCP Ticket (current)- for nursing students only- sent by school with other forms.

Once we receive the forms, the following processes begin:

  • Our Information Services (IS) Communications team sends login information to the student for access to the UMMMC internal network.
  • Students will have directions to complete required eLearning in Workday (a Human Resources platform on the internal UMMH network).
  • All allied health students, with the exception of nursing students, must complete Annual Required Education (ARE) for their orientation. Nursing students who will have completed comparable learning in Centralized Clinical Placement (CCP).
  • EPIC access will also be assigned according to clinical area.
  • ID Badges and Parking: The Office of Student Affiliations Once “clearance” email is sent to the school with attached badge forms with approval stamp from the OSA, ID badges can be obtained through the Parking/Access Control Office at either University Campus or Memorial Campus. Appointments are required to bring a clinical group of students to obtain badges. No appointment required if an individual. 
  • Second or Additional Rotations:
    Many students return for additional coursework/clinical rotations. In these situations, schools must submit a new letter of attestation, student group summary sheet and student registration form (if over 1-year). If within 1-year only Attestation Letter and Student Group Summary only.

  • Complete assigned Annual Required Education in Workday on the UMMH internal website.
  • Attend mandatory faculty orientation yearly. 
  • Attend Medication Competency if new to teaching at UMass Memorial Medical Center and Glucometer training/recertification.
  • Attend Epic Training as needed (2 full days) if not a UMass Memorial Health employee. 
  • Contact unit manager and educator to communicate clinical objectives and arrange for a time to orient to the unit, unless you currently work in the area (Maternity, Pediatrics, Psych). 
  • Verify that required clearance paperwork has been sent from the school to studentaffilations@umassmemorial.org
  • Contact studentaffilations@umassmemorial.org to request access to Faculty Epic and pyxis.

Guidelines for Potential UMass Memorial Health Precepted Experiences

Preceptor

  • School must have an Affiliation Agreement with UMass Memorial Health. Check with the OSA to see if there is one in place.
    Preceptor will agree to precept and notify student.
  • Preceptor will need to obtain appropriate computer/medical record access for student. Undergraduate nursing student access will be obtained by the OSA.
  • Shadowing is not allowed unless individuals are enrolled within the volunteer and clinical shadowing program and have completed all necessary requirements prior to observation time or is a current UMass Memorial Medical Center employee with written permission from the Senior Director of APPs and the Chief Medical Officer.

Student

  • Student will reach out to their school with details (preceptor name, dates, department, campus etc).
  • Student should only communicate with school not the Office of Student Affiliations.
  • School will send all required documentation to OSA.
  • All students are required to complete orientation modules before they are cleared to begin their clinical rotation:
    • Nursing students complete their modules in the CCP
    • All others will be assigned the modules in Workday
  • Nursing Students: All requests for preceptors should go through the Centralized Clinical Placement Site (CCP).
